Who is responsible?
Kingstone Uganda Project is a registered charity in England and Wales (charity number 1145840). Contact us about personal information at info@kupug.org or write to 109 Nightingale Vale, London SE18 4EL, United Kingdom. Our work is carried out with partner schools and communities in Buikwe, Uganda.
Information we collect and why
- Messages and enquiries: your name, contact details and message so we can answer you and keep a record of the enquiry.
- Trip applications: contact and organisation details, payment preference and, where you choose to provide it, dietary, medical or accessibility information so we can assess your application and plan a safe visit.
- Sponsorship and donations: contact and giving details needed to administer your support, keep financial records and provide relevant updates. Payment providers handle bank or card details; KUP does not ask you to send bank card details through this website.
- Visitor experiences: the story and any photo you submit. Submissions are private for review unless you separately ask us to consider your story for publication and KUP approves it.
- Website analytics: only if you opt in, we record a daily count for the page you viewed. We do not store an IP address, visitor identifier, query string, referrer or advertising profile in the analytics database.
- Child and sponsor records: staff use information to manage education support, safeguarding and sponsor updates. Public child profiles use a public display name and summary only where the required guardian permissions and KUP approvals are recorded.
Our legal grounds
- We use details you give us in an enquiry, application or sponsorship request to take steps you ask us to take, manage the programme or relationship, and respond to you.
- We keep financial and programme records where required by law and use limited information for KUP’s legitimate interests in running, securing and safeguarding its charitable work.
- We use optional website analytics only after your consent. You can change this choice at any time in Cookie settings.
- We use a separate choice before considering a visitor story or photograph for publication. If you supply dietary, medical or accessibility information in a trip application, we ask for explicit consent to use it for welfare and planning.
Children and sensitive information
We limit public information about children and keep detailed welfare, health and safeguarding information private. Access is limited to authorised people who need it for their role. We do not publish a child’s identifying details or photograph solely because the information was supplied to KUP. For trip participants, dietary and health or accessibility details are used only for relevant welfare and planning needs and are not placed on public pages.
Who may receive information?
Relevant information may be handled by our secure VPS hosting and technical providers, Google Workspace for official email, and payment providers such as Zeffy or GoCardless when you choose their payment service. We may share limited information with authorised KUP staff and partner schools in Uganda when needed to deliver education support, arrange a visit or safeguard a person. We do not sell personal information or use it for advertising.
International work and transfers

The website is available internationally. If KUP specifically offers services to people in the EEA or monitors their behaviour there, additional EEA data protection rules may apply. Our public website analytics is optional and is not used to track visitors across websites.
How long we keep information
We keep information only as long as needed for the purpose it was collected, to maintain programme and safeguarding records, to resolve queries, and to meet legal and financial duties. Retention depends on the record type and applicable requirements. Optional aggregate page-view totals are automatically removed after 13 months. We periodically review records and securely delete or anonymise information that is no longer needed.
Your choices and rights

Depending on the circumstances and applicable law, you can ask us to access, correct, erase or restrict information, object to some uses, or withdraw consent. Withdrawal does not affect processing already carried out. Email info@kupug.org; we may need to confirm your identity before acting.
